Dental rota template: a worked surgery-cover example

Use an on-page dental rota example to check room assignments, overlapping duties, planned paid hours and unresolved cover before sharing the week.

Dental rota template: a minimal topic-specific technical line illustration on Dentorb's dark grid and flowing grey gradient.

A useful dental rota shows who is assigned to each session and where cover is still unresolved. Total weekly hours cannot tell you whether two rooms depend on the same person at the same time.

The example below works entirely on this page. Adapt the fields to your practice's approved staffing plan and contracts. It helps record decisions; it does not decide which staffing arrangement is safe for a particular clinic.

    Use one row per assignment

A session may need several people in different roles. Give each assignment its own row and keep a stable session reference, so a room change does not create an apparently unrelated clinic.

    MON-PM-02Surgery 2, dental nurseUnassigned13:30–17:000 minCover needed

Hypothetical illustration: the 30-minute gap between Staff A's assignments is not automatically proof of a break. Check that they are genuinely free of work during it and that all other duties are included. Keep the clinician assignments and other required roles visible in the actual rota; this shortened table shows only the nursing-cover question.

Add a named owner and deadline to an unresolved row. Do not leave “cover needed” as an unowned colour on a sheet.

    Add availability before filling gaps

Use approved leave, training, usual patterns and relevant work restrictions to check availability. Keep private medical or absence explanations out of the widely shared rota.

Check the whole day, including opening, decontamination, handover and closing work. Ask the responsible leads which tasks need protected time. In Great Britain, ACAS working-time guidance covers rest and limits; use the applicable rules for the person and jurisdiction. A free afternoon cell is not permission to ignore the rest of someone's working week.

Test an overlap before counting hours

Suppose Staff B is already assigned to Surgery 2 until 13:00. Moving that name into Surgery 1 for a handover at 12:45 creates a conflict. Both cells may look filled, but the person cannot perform two incompatible duties at once.

Resolve the timing or identify suitable agreed cover. If no appropriate arrangement is available, escalate the clinic decision to the responsible clinical and operational leads. Do not treat a software suggestion as an accepted, safe assignment.

For decisions about requests and approvals, use the rota and leave rules guide. This page deals with the visible working plan once those rules are agreed.

    Calculate planned time clearly

For an assignment running from 09:00 to 17:00 with a genuine 30-minute unpaid break:

    8 elapsed hours − 0.5 unpaid hours = 7.5 planned paid hours.

This is arithmetic using the stated assumptions, not a decision about pay rights. If the break was worked, the shift changed or the contract treats breaks differently, review the record and appropriate pay input. A planned total is not proof of actual attendance or approved overtime.

The payroll handover guide explains how to reconcile approved inputs before sending them to the actual payroll provider.

    Share one current rota

    Before issuing it, check:

    • Required roles and unresolved gaps with the responsible leads.
    • Overlapping assignments, leave and other commitments.
    • Breaks, hours and relevant working arrangements.
    • Who approved the current version and how changes are communicated.
    • Which pay questions still require a separate decision.

Dentorb's rota, leave and overtime tools describe templates, assignments and changes. Ask for a demonstration using a split shift, an absence and an overlap. Check which warnings are generated and who confirms cover. Link unresolved work to a named task so the decision remains visible.

Try this now: choose tomorrow's busiest session and trace one person across every duty, rather than checking only that each room has a name.
