Nothing to worry about.
Dentorb runs the day-to-day of your practice. Here is how we look after it, what we’ll put in writing, and the answers to the questions careful owners ask.
What we do today.
Stored in the UK
Fully UK GDPR compliant, and sealed off from every other practice. Patient details are clinically protected: behind their own lock, with every look recorded.
Backed up every day
Every practice, every record and every file, encrypted and kept in a separate, locked store.
A person decides
Dentorb proposes, and someone at your practice approves. Your data never trains AI, and it never gives clinical advice.
Fully insured
Full business insurance with a specialist insurer, cyber cover included. Certificate on request.
Proof, not promises.
The documents behind every line above, ready to read before you sign.
Questions careful owners ask.
We’d rather you asked them now. If yours isn’t here, ask us, and we’ll answer it and add it.
Who owns our data?
Your practice does: every record, every file, and everything made from them, like reports and Orb answers. We only use it to run Dentorb for you.
Where is it stored?
In the UK.
Is Dentorb GDPR compliant?
Yes, fully, under UK GDPR. Your practice stays the controller of its data and we act as your processor, under a data processing agreement you can read before you sign.
Can we take our data with us?
You can export your CQC pack, compliance records, staff and payroll records, and the file audit yourself, whenever you like.
Who can see patient details?
Only the people you choose. Patient details sit behind their own lock, and every time someone opens them it's recorded.
Does the Orb go through patient records?
No. The Orb runs the practice: your team, the rota, compliance, stock and money. Patient details stay behind their own lock.
Is our data used to train AI?
Never. Not by us, and not by anyone we work with.
Can it change things on its own?
No. It proposes, and someone at your practice approves. Small changes can be undone. Anything that sends something outside the practice, spends money, changes who can see what, or deletes always waits for a yes.
What if it gets something wrong?
Nothing happens on its say-so, because every change waits for a person. The decision stays with your practice, as with any tool you use.
Does it give clinical advice?
No. It runs the practice, not the surgery. It doesn't diagnose, suggest treatment or interpret clinical records.
Can a receptionist ask it about a colleague's pay or sick notes?
No. The Orb only sees what the person asking is allowed to see.
Does it make decisions about staff?
No. It can show a manager the facts, and people make the decisions about people.
Is our data backed up?
Every day, for every practice: every record and every file, encrypted and stored in the UK.
Could a backup be deleted or held to ransom?
Recent copies sit in a separate, locked store that even a Dentorb login can't delete.
Can another practice see our data?
No. Every request is checked against your practice before anything is shown.
How do people sign in?
Owners and managers sign in with a one-time link or code sent to their email.
Can we see who opened what?
For the sensitive things, yes: staff files, payroll changes, role changes and patient records are all recorded, and you can export the file audit.
Can Dentorb staff see our data?
Only if you let us. If we need to look in order to help, your owner grants read-only access that expires on its own, and it's recorded.
Are you insured?
Yes. We have full business insurance with a specialist insurer, cyber cover included. The certificate is available on request.
Can we see the data processing agreement before we sign?
Yes. It's published, and we sign it with you.
Do we need the NHS Data Security and Protection Toolkit for Dentorb?
If you hold an NHS contract you complete your own toolkit anyway, and we'll give you what it asks about suppliers. Purely private practices aren't in its scope.
Will Dentorb get us through inspection?
No software can promise that, and we won't. It keeps everything an inspector asks for in one place and exports your CQC pack on the day.
Will it tell us we're CQC ready?
No. Only an inspection decides that. It shows you what's in date, what's missing and what's due next.
Will CQC mind that we use AI?
CQC doesn't approve or ban tools. It expects AI to support your team, with a person deciding, and that's how the Orb works.
Does it work with our practice management system?
If you use Dentally, Dentorb connects to it, payment plans included. If you use another system, Dentorb simply runs alongside it.
Do we have to use Dentally?
No. The connection is optional.
How is it priced?
Per site, never per person, on a 12-month term billed monthly.
