Keep each continuing professional development (CPD) activity connected to the person, the learning record and suitable provider evidence. A folder of certificates is useful, but it is not the whole record. Clear links prevent missing evidence and accidental double-counting.

The GDC describes a CPD record that includes a personal development plan (PDP), activity log and supporting evidence, with reflection. It says to retain the record for five years after the end of the five-year cycle. Check its recording and submission guidance.

Check the evidence before storing it as verified

The GDC's professional CPD guidance explains the information that supports verifiable activity. Check the provider's evidence for:

    • The learning topic, content, aims and objectives.
    • The relevant GDC development outcomes.
    • The activity date and CPD hours.
    • The participant's name.
    • The quality-assurance details and confirmation of accuracy.

Suitable evidence is not limited to a conventional PDF certificate. Use the current guidance for provider emails and mapping documents, and confirm that the required information is present. A booking confirmation or payment receipt alone does not establish completed verifiable learning.

The GDC's March 2025 update removed the requirement for registration numbers on certificates and clarified more flexible documentation arrangements. Do not reject otherwise suitable evidence solely because it uses an older or different layout.

Use one activity record, even when files change

    FieldWhy it helps
Activity IDGives the learning a stable reference
Participant and providerHelps confirm who completed which activity
Activity dateKeeps learning time separate from upload time
Hours and development outcomesConnects the recorded learning with its evidence
Evidence location and queryShows the supporting record and any missing information
PDP connectionLinks relevant learning to the development plan
Correction historyExplains which evidence now applies and why

The fields above are an organising example. They do not replace the full GDC requirements. Keep any additional details needed for the particular activity.

Worked example: the provider corrects a certificate

Illustrative case: a person completes an activity and uploads the provider's evidence. Later, the provider corrects the recorded hours. Keep the corrected document attached to the existing activity and record that it supersedes the earlier version.

Do not add a second completed activity simply because there is a second file. Check any totals affected by the correction. Keep the reason traceable, rather than silently replacing a number that someone may already have relied on.

If the earlier hours were used in a submitted statement, the registrant should check the appropriate GDC process for their circumstances. Editing a local record does not automatically amend a regulator submission.

Handle missing details as a query

    SituationSensible next action
Participant name does not matchAsk the provider for suitable clarification or correction
Hours or outcomes missingCheck whether additional provider evidence supplies the detail
Activity has two certificatesEstablish whether it is one activity or genuinely separate learning
File cannot be openedRestore access and check the actual document before marking it verified
Evidence covers several activitiesKeep the relationship and any allocation clear; avoid counting time twice

Never fill missing hours or dates from memory just to close a dashboard warning. Keep the query visible with an owner and next step.

Give people access to the record they need

The registered professional needs to maintain their own usable CPD record. A practice manager may need a narrower training summary. Agree access, export and leaver arrangements so the only copy is not left inside a former colleague's email account.

Keep personal reflections separate from widely shared completion reports. Use the PDP review guide when discussing what the learning changed. The practice training matrix can reference relevant evidence without becoming the person's full professional record.

What to ask of a CPD system

Dentorb's CPD Learning Centre describes learning records and certificate storage. Ask how external activities, provider emails, corrected evidence and an export for the individual are handled. Demonstrate a missing document and a duplicate before importing a large folder.

Start with a small sample from the current cycle. Can the professional follow each activity to its evidence and explain the hours recorded? Resolve those questions before trusting a total.
